Overall Purpose of the Role

This role is responsible to assist the Sales & Events team with the successful coordination and event planning of functions & events, across both Melbourne Zoo and Werribee Open Range Zoo.  This role will suit someone who has a passion for the hospitality and events industry.  A very busy year-round operation where no two days will be the same, you will work closely with our operations and culinary teams to deliver the highest level of customer service to our clients.  Adherence to Our Safety Culture framework is expected.

Role Duties and Requirements

  • To be a point of contact for event enquiries, answering calls, taking messages, compiling proposals and quotations
  • Responsibility for selling and co-ordinating children’s birthday parties
  • Ensure the event calendar and systems are up to date with event information
  • Conduct site inspections, client follow-ups, liaise with various suppliers to organise logistics
  • Prepare event documentation, event orders, floorplans, invoicing, signage & printed menus
  • Provide a warm, friendly and welcoming service to both internal and external customers and clients
  • Undertake any other ad hoc administration duties and assist the team when needed

Skills and Experience

  • Have a desire to work in the events industry
  • Show a strong work ethic and a ‘can do’ attitude
  • Have administration and organisations skills
  • One to two years’ experience within the catering or hospitality industry preferred but not essential
  • Desire to be hands on team player
  • Excellent communication skills both written and verbal
  • Proficiency in Priava, or other similar event management software, Canva and strong IT skills
