We're seeking a professional and customer-focused Receptionist (Accommodation) to join our team at Kokoda Barracks supporting the Australian Defence Force through our ESS business. 

As the first point of contact for accommodation services, you'll play a key role in ensuring Defence personnel receive outstanding customer service while supporting the day-to-day operation of accommodation facilities. This role involves managing bookings, accommodation administration, reporting, and coordinating with site stakeholders to deliver a high standard of service. 

Role Location: 

  • Kokoda Barracks 

Your responsibilities will include:

  • Manage daily accommodation arrivals, departures, and room allocations. 
  • Ensure that all accommodation records are accurately maintained within the accommodation management system. 
  • Identify and follow up accommodation discrepancies, including room vacancies, personal belongings, and occupancy matters. 
  • Liaise with housekeeping teams to coordinate room cleaning schedules and occupancy requirements. 
  • Process bookings, check-ins, check-outs, and accommodation changes requested by Defence personnel or management. 
  • Respond to customer enquiries and resolve accommodation-related issues professionally and efficiently. 
  • Maintain high standards of customer service while addressing complaints and service requests. 
  • Prepare and distribute accommodation and occupancy reports for management. 
  • Draft correspondence, receive and relay information, and support effective communication across the site. 
  • Ensure compliance with Compass and Defence health, safety, and security requirements. 
  • Report hazards, incidents, and safety concerns promptly. 
  • Participate in toolbox and safety meetings and promote a positive safety culture. 
  • Undertake other administrative and operational duties as required by site management. 
What we're looking for: 
  • Previous experience in a reception, accommodation, hospitality, or customer service environment. 
  • Experience working with accommodation management systems such as RMS or similar booking software. 
  • Strong computer and administrative skills. 
  • Excellent verbal and written communication skills. 
  • Demonstrated ability to organise, prioritise, and manage competing tasks. 
  • Strong customer service focuses on the ability to build positive stakeholder relationships. 
  • Sound problem-solving skills and the ability to manage conflict professionally. 
  • Basic understanding of financial and reporting processes. 
  • Knowledge of workplace health and safety requirements. 
  • Ability to work both independently and as part of a team. 
  • Ability to obtain and maintain National Police Check and Defence clearance. 
  • Australian Citizenship is a mandatory requirement for this position.
