Vehicle Fleet Maintenance Scheduler

We are seeking an experienced and highly organised Vehicle Fleet Maintenance Scheduler to support day-to-day transport and fleet operations within a structured and fast-paced environment.
This role is suited to someone with experience in transport coordination, fleet operations, compliance, permits, and safety management, ideally within defence, logistics, aviation, mining, or other highly regulated industries.
Key Responsibilities
• Coordinate daily road movements, scheduling, and vehicle availability
• Manage transport disruptions and operational changes
• Ensure compliance with Chain of Responsibility (CoR), NHVR, and transport regulations
• Coordinate permits and authorised vehicle movements
• Monitor vehicle condition, servicing, and maintenance schedules
• Conduct risk assessments and support incident reporting processes
• Liaise with drivers, workshops, operational teams, and external stakeholders
• Maintain accurate transport records, reporting, and audit-ready documentation
• Support safe and efficient operations in a high-pressure environment
About You
• Experience in transport, fleet, logistics, or operational coordination roles
• Strong understanding of transport compliance and safety requirements
• Excellent communication and stakeholder management skills
• Strong problem-solving ability and operational judgement
• Ability to work calmly under pressure and manage competing priorities
• Confident using transport systems and Microsoft Office, particularly Excel
• Comfortable working within structured or hierarchical environments
Mandatory Requirements
• Current Australian Driver’s Licence
• Australian Citizenship
• Ability to work on-site within a defence/base environment
Desirable
• Experience within defence, aviation, government, or regulated operational environments
• Knowledge of NHVR permit processes and transport legislation
